Procurement Coordinator

 

Summary

Reports to the Director of Procurement and Vice President of Procurement. The Procurement Specialist will be responsible for managing all procurement tasks for Buttcon. Their main duties include creating Instructions for Bidders packages including detailed scopes of work, managing the tender process, analyzing quotes received to ensure scopes of work are complete, negotiating to finalize sub-contract award, and tracking award amounts compared to budgets.

 

Responsibility

Subcontractor and Tender Management:

  • Assist in qualifying subcontractors and supporting the tender process for stipulated sum projects.
  • Help prepare sub-trade tender documents for design-build and construction management projects.
  • Support the pre-qualification process for subcontractors to ensure compliance with project requirements.
  • Coordinate purchasing materials required on job sites over $500, including obtaining three price quotes when possible and issuing purchase orders.
  • Review tender results, compare them with budgets, and prepare letters of recommendations for sub-contract awards.
  • Prepare subcontractor contract documents for design-build, construction management, and stipulated sum projects.
Tender Coordination and Communication:
  • Coordinate tender calls, organize bidder communications, and respond to queries, while assisting in obtaining information from consultants.
  • Maintain records of tender documents, issue addenda, and help prepare bid opening documentation.
  • Serve as a point of contact for clients, consultants, and subcontractors during the tender process, ensuring clear and timely communication.
  • Assist with the opening of tenders in the presence of the owner, ensuring transparency and proper documentation.
  • Assist with the tender process by developing bidder lists, issuing tender packages, and following up with bidders as necessary.
Bid Analysis and Contract Management:
  • Help present bid analysis to owners for construction management projects and support in the evaluation of tenders.
  • Assist in analyzing quotes and contribute to the negotiation process for sub-contract awards.
  • Aid in preparing contracts with subcontractors and ensuring all terms are well-documented and agreed upon.
  • Scope review with potential sub-contractors to ensure all project needs are addressed and met.
Budget Monitoring and Quantity Estimation:
  • Assist in tracking project sub-contract amounts, comparing them to original budgets, and helping with budget reallocations as needed.
  • Support the estimation of material quantities for comparison with subcontractor tender quantities to ensure accuracy and consistency.
  • Provide support for the Estimating Department by supplying relevant cost information when needed.
  • Assist estimating department in the review of bids at time of tender closing.
Procurement and Supply Chain Support:
  • Create, verify, and file purchase orders, ensuring all necessary documentation is completed accurately and in a timely manner.
  • Monitor delivery of outstanding purchase orders and expedite with suppliers when necessary to avoid delays.
  • Process packing and delivery slips, checking for accuracy, matching products received with purchase orders, and assigning values.
  • Liaise with suppliers to ensure technical data sheets are received and maintained in the master list.
  • Maintain weekly updates on procurement activities related to tender packages, providing timely reporting and tracking.
  • Assist the Estimating team with quote analysis during tender closing periods to support decision-making.
General Support and Coordination:
  • Supervise and train Coordinating Assistants to ensure effective workflow and efficient operations.
  • Provide support for Coordinating staff in issuing revisions and purchase orders, as required.
  • Assist and collaborate with the Accounting Department to correct or amend purchase orders as necessary.
  • Purchase materials for Head Office requirements as requested and manage other procurement activities as needed.
   

Skills And Attributes

  • Thorough tender analysis skills
  • Ability to negotiate with sub-contractors and suppliers.
  • Ability to prioritize and work in a fast-paced environment.
  • Ability to read and understand Tender Drawings and Specifications
  • Knowledge of local construction practices and delineation of work to create scopes for Sub-contractor Tender Packages.
  • Good written and verbal communication skills
  • Stay up to date on industry trends and new products.

Qualification Requirements

  • Degree or Diploma in Construction Management (or similar field).
  • Minimum 1-3 years of experience in procurement role, estimating role or related; preferably within the construction industry.
  • Strong communication skills and a collaborative approach to work.
  • Experience with Microsoft Office, including Outlook, Teams, Word, Excel, and Building Connected.
  • Ability to handle multiple tasks and work effectively as part of a team.
  • Proactive, positive attitude and willingness to learn and grow in a junior procurement role.
