Procurement Specialist

 

Summary

Reports to the Director of Procurement and Vice President of Procurement. The Procurement Specialist will be responsible for managing all procurement tasks for Buttcon. Their main duties include creating Instructions for Bidders packages including detailed scopes of work, managing the tender process, analyzing quotes received to ensure scopes of work are complete, negotiating to finalize sub-contract award, and tracking award amounts compared to budgets.

 

Responsibility

  Subcontractor and Tender Management:

  • Support in qualifying, analyzing, negotiating, and awarding sub-contracts for stipulated sum projects.
  • Assist in the preparation of sub-trade tender documents for design-build and construction management projects.
  • Conduct subcontract pre-qualifications.
    Tender Coordination and Communication:
  • Coordinate tender calls, including bidder coordination, responding to bidder queries, obtaining information from consultants.
  • Maintain tender document records, issue addenda, and prepare bid opening documents.
  • Act as the primary point of contact with clients, consultants, and subcontractors during the tender process.
  • Assist in opening sub-contract tenders in the presence of the owner.
  Bid Analysis and Contract Management:
  • Support in presenting bid analysis to owners for construction management projects.
  • Analyze, negotiate, and award sub-contracts.
  • Assist in the preparation of contracts with subcontractors for design-build, construction management, and stipulated sum projects.
    Budget Monitoring and Quantity Estimation:
  • Monitor project sub-contract amounts and compare them to original budget amounts.
  • Process budget reallocations as necessary.
  • Support in quantity estimates of materials for comparison with subcontractor tender quantities.
    Procurement Tracking and Support:
  • Maintain weekly tracking of tender package procurement for projects.
  • Assist the estimating department with quote analysis at tender closing time.
   

Skills And Attributes

  Skills:

  • Thorough tender analysis skills
  • Ability to negotiate with sub-contractors and suppliers.
  • Ability to prioritize and work in a fast-paced environment.
  • Ability to read and understand Tender Drawings and Specifications
  • Knowledge of local construction practices and delineation of work to create scopes for Sub-contractor Tender Packages.
  • Good written and verbal communication skills
  • Stay up to date on industry trends and new products.
 

Qualification Requirements

  • Degree or Diploma in Construction Management
  • Minimum 5-7 years of experience in procurement role or related; preferably within the construction industry.
  • Demonstrated ability to negotiate with vendors.
  • Strong communication and problem-solving skills.
  • Experience with Microsoft Office suite, products including Outlook, Teams, Word, Excel, and Building Connected.
  • Ability to prioritize and multitask.
  • Proactive attitude towards work, teamwork, and cooperation.
